Our client a leading Architectural and Urban Design Practice based in Bath is looking for a Group Coordinator to join the team on a temporary basis.

Hours: 09:00 – 17:30 Monday - Friday, with one hour for lunch unpaid.

You will be someone who is a confident administrator, proficient in both excel and word, a fast learner who has an aptitude for systems and document control with experience of working in a deadline orientated environment. The role requires drive, flexibility and a genuine capacity to multi-task effectively.

They value personalities who appreciate design or desire to work closely with designers in a supporting role. Those with a background in a design if capable of the above would be advantageous, especially if you can use adobe InDesign.

This role focuses on top quality support, whether project administration or group coordination.
The role requires a good communicator who likes to work in a team environment and can be incredibly rewarding to the right candidate. They want someone who is excited to join and ready to hit the ground running.

Duties Include:

• Coordinating Internal and external Project Meetings (Inc. diary Invitations, conference calls and room bookings).

• Assisting in the preparation of Meeting Agendas and taking/writing-up of Minutes.

• Assisting the Managing Partner and Group Leader with the preparation of Project Appointments (Inc. collating,
printing, binding for signature and scanning/filing of countersigned copies).

• Coordinating couriers (with special requirements: e.g. Models, Display Boards, Banners, Samples)

• Providing Document Control to all Group Projects; ensuring that current drawings, schedules, specs, and other
associated documents are digitally filed, maintained and issued in an efficient manner (Inc. acting as the primary user
and monitor of Project Extranets, maintenance of Project Drawing and RFI registers/schedules and issuing of file transfers).

• Preparing documents for archiving

• Assisting PR in the maintenance of the practice’s Image Library (Inc. liaising with Project Architects to select visuals/
photographs for upload).

• In conjunction with the Group Leader arranging Group Meetings (inc. diary invitations and discussion agenda).

• Attendance at Group Meetings and when required taking of Minutes and Group Actions.

• Assisting the Group Leader in planning and implementing changes to benefit the Group’s way of working and

• In conjunction with the Group Leader and Group members, preparing monthly Group Status Reports.

• In conjunction with the Group Leader and Group members, preparing the monthly Office Meeting presentation slides.

• Organization and booking of travel for all Group members (Inc. flights, hotels and taxis).

• Preparation of travel itineraries and coordination of overseas Study Trips.

• Maintenance of Group members CVs and Intranet Profiles.

• In conjunction with HR and the Group Leader arranging Group member’s annual reviews (Inc. diary invitations, and
room bookings).

• Providing telephone back-up to Reception.

• In conjunction with HR and Studio Manager allocating appropriate office seating to New Starters (Inc. liaising
with IT, providing New Starter Pack and administrative Induction).

• Responsible for keeping New Starter Pack updated.

• In conjunction with HR and Studio Manager allocating Group placements for work experience students.

• Responsible for organizing Staff Leaving Presents and Cards.

• Assistance at events.

• Filing and Archiving Project Documentation.

• Holiday cover for other Group Coordinators.
